JOB SUMMARY:

The Partnerships in Child Care division of Volunteers of America Greater Baton Rouge provides information, support, and assistance to child care teachers and Directors to improve the quality of their early childhood instruction and thus facilitate positive learning outcomes for children.  Partnerships in Child Care (PICC) also provides families with resources about child development and child care referrals.  This position is responsible for the coordination of referral data input and output for the NACCRRAware database system, for providing support for community outreach activities, and for supporting the PICC Resource Center usage.  This position also serves as the receptionist for the program—greeting visitors and callers in a professional manner and directing them to and assisting them with the appropriate resources—and helps manage office resources.

JOB DUTIES:

This position’s duties may include but are not limited to the following responsibilities:

(Data input and output)

  • Consult with families requesting information and assistance with locating child care services
  • Generate referral information using the NACCRRAware database system and information shared by regional Early Childhood Care and Education Community Networks
  • Maintain the accuracy of the NACCRRAware database and log of regional Early Childhood Care and Education Community Networks’ Coordinated Enrollment Campaigns
  • Help conduct evaluation of services provided to families
  • Prepare and distribute program information materials to community sites
  • Log usage of PICC resources
  • Assist in the preparation of reports regarding referrals services, information distribution, and resource usage
  • Assist in the maintenance of logs for the Technical Assistance team
  • Assist in processing Project PlaySmart and other PICC award application materials

(Receptionist)

  • Answer phones and questions of callers, route calls to the appropriate person, or take messages
  • Greet visitors and direct them to and assist them with appropriate resources
  • Retrieve and route incoming and outgoing mail for the division
  • Conduct finger scans for CCAP (Child Care Assisstance Program) families
  • Assist providers with setup of LDE (Louisiana Department of Education) online CAFÉ system
  • Perform clerical duties such as typing, filing, faxing, copying, etc.
  • Maintain office machines (such as office copier, fax, and postage meter and Resource Center printers, laminators, and die cuts)
  • Route incoming faxes to proper person
  • Review and maintain inventory of supplies, marketing materials, and donations received for office, monthly
  • Order office and janitorial supplies for office and Resource Center (within budget allowance)
  • Submit work orders for repair work (for IT and facility needs)
  • Maintain Resource Center orderliness, daily
  • Oversee maintenance of Resource Center display boards
  • Fulfill requests for new provider applications
  • Collect and compile updated provider contact information, at least annually and as needed

JOB SPECIFICATIONS:

  • Child Development Associate credential and 2-3 years of early childhood experience preferred; High School diploma or GED equivalent required
  • Excellent interpersonal skills
  • Excellent written and oral communication skills
  • Proficiency in MS Office
  • Strong attention to detail
  • Ability to be flexible, dependable, and work with diverse populations
  • Self-motivated and able to organize and multi-task
  • Team attitude
  • Must have safe, reliable transportation
